Description We are looking for a dedicated and detail-oriented Office Manager to join our team in Long Beach, California. In this long-term contract role, you will oversee administrative operations, manage financial processes, and provide exceptional support to ensure the smooth functioning of the office. This position requires a proactive individual who thrives in a dynamic environment and can effectively manage multiple responsibilities. Responsibilities: - Perform data entry tasks with accuracy and efficiency. - Greet visitors, determine the purpose of their visit, and provide appropriate assistance. - Manage accounts payable processes, including obtaining approvals, posting invoices, issuing checks, and maintaining records. - Assist with the processing of organizational payments and direct shipments. - Respond to vendor inquiries and maintain accurate records of W-9 forms for 1099 purposes. - Organize and distribute incoming and outgoing mail, as well as daily paperwork from various departments. - Draft memos, correspondence, reports, and other documents as needed. - Maintain office supplies by placing orders and ensuring adequate inventory. - Handle administrative tasks such as filing and maintaining an outstanding check list and wire payments log. - Provide additional support for miscellaneous office duties as required. Requirements - Associate's degree preferred, with at least 2 years of experience in an administrative support role. - Proficiency in Microsoft Office Suite and strong data entry skills. - Bilingual proficiency in Spanish is required. - Excellent written communication skills to compose clear and concise correspondence. - Strong customer service skills with a detail-oriented and team-oriented demeanor. - Ability to manage multiple tasks and priorities effectively while maintaining attention to detail. - Prior experience with accounting software and financial processes is highly desirable. - Self-motivated, organized, and able to work independently in a fast-paced environment.
